Marina Administrator
Lakeland Leisure Estates Ltd - Frampton on Severn

Job Summary

To support and assist the Marina Manager in the general day-to-day running of the Marina.

To perform administrative duties to support all Marina operations.

You will report to the Marina Manager

Main duties and responsibilities

To assist the Marina Manager in the following duties:

  • Dealing with enquires from the general public and berth holders in a friendly manor.
  • Filling berths by sales of permanent and temporary moorings.
  • Ensure mooring terms and conditions are complied with.
  • Recording all moorer’s personal and invoicing information.
  • Updating all mooring information and changes to head office.
  • Providing weekly/ monthly accounting information to head office.
  • Chandlery /quay sales using till, pdq and recording sales.
  • Stock take at end of every month and send report to head office.
  • End of day sales recording to bookwork and computer.
  • Assistance with brokerage sales.
  • General tidiness of office.
  • To attend training courses relevant to the postholders duties and responsibilities.
  • Quay duties, refuelling and pump out of boats.
  • To prepare and collate confidential employee paperwork for payroll and human resources and send to head office.
  • To comply with the relevant duties and responsibilities under the Health & Safety Work etc. Act 1974, the Management of Health and Safety at Work Regulations 1999 (as amended) and all relevant Codes of Safe Working Practice, policies and other health and safety information relevant to the area of work.
  • Any other duties as may reasonably be requested by the General Manager and any Director of the Company.

Required Education, Skills and Qualifications

Education and Qualifications

  • Educated to GCSE level or equivalent.

Experience

  • Must have experience in a customer service role.
  • Must have experience using Microsoft Office, in particular Excel and Word.
  • Must have previous experience in basic book keeping.

Skills and Attributes

  • The ability to communicate clearly, in a professional manner, both orally and in writing.B
  • The ability to organise your workload and that of others, and to plan in advance.
  • The ability to deal with problems and suggest resolutions.
  • Ability to adapt behaviour and deal with the berth holders in a courteous, sympathetic and understanding manner.
  • Must have a flexible approach to working arrangements and an ability to align working hours with customer demand and workload.

Marina Manager

Job Summary

To carry out the general day to day management of the marina, including adherence to the financial budget, health and safety compliance and supervision of marina staff.

To ensure high standards of service and facilities are not only maintained but also developed as required by the company.

To maximise the utilisation within the marina, ensuring and developing profitability from all income streams.

Job Type / Category

  • Must have a flexible approach to working arrangements and an ability to align working hours with customer demand and workload.
  • To adhere to the financial budget.
  • To assume and maintain an up to date working knowledge of legislation in all the areas of work including mooring terms and conditions and marina legal requirements and ensure these are complied with.
  • To comply with the company’s Health, Safety and Environment Policy.
  • To comply with the relevant duties and responsibilities under the Health & Safety Work etc. Act 1974, the Management of Health and Safety at Work Regulations 1999 (as amended) and all relevant Codes of Safe Working Practice, policies and other health and safety information relevant to the area of work.
  • To comply with local council rules on sales of alcohol.
  • To ensure all plant and equipment on site is safe, checked regularly and records kept in line with LLE procedures.
  • To assist and deal with berth holders, tenants, members of the public, suppliers, contractors and emergency services.
  • To line manage staff in accordance with LLE’s policies and to develop staff progression.
  • To plan and manage the staff duty rota and authorise timesheets.
  • To be responsible for site security.
  • To undertake the maintenance of buildings, grounds and minor repairs.
  • To be responsible for the general upkeep and appearance of marina site including cutting grass and hedges.
  • To undertake quay duties.
  • To undertake chandlery sales and ordering of stock and assist with brokerage sales.
  • To undertake marina office administration in the absence of the administrator.
  • To be responsible for the banking of any marina income.
  • To undertake training courses relevant to the role.
  • To reside on site, in case of incidents / emergencies that can occur and be dealt with, if out of working hours.

Required Education, Skills and Qualifications

Education

  • Good standard of education.
  • A working knowledge of legislation in all areas of marina work.
  • Previous experience in supervising staff.
  • A minimum of two years experience working in a marina.

Experience

  • Previous experience in commercial management.
  • Experience in dealing with customers in a range of different circumstances including those are aggressive, unhappy or disappointed with the information they are being given.
  • Experience using Microsoft products and Windows applications.

Skills and Attributes

  • Must be physically fit and able to undertake manual work.
  • Must be a confident, decisive communicator capable of motivating, coaching and managing marina staff.
  • Ability to communicate effectively with a wide range of individuals including staff and customers both orally and in writing.
  • Ability to understand and respond to situations quickly.
  • Ability to adapt behaviour and deal with the berth holders in a courteous, sympathetic and understanding manner.
  • Must have a flexible approach to working arrangements and an ability to align working hours with customer demand and workload.
